ISPI DFW Chapter Board Positions
The
following position descriptions are samples of the jobs performed by each
person who assumes the role described. There may be other duties assigned
throughout the year, or that change from year to year. While the Board
attempts to have each of these positions filled each year, not all positions
are required positions. In fact, based on the number of volunteers available,
some positions may be combined into one role. Any member that desires
to serve the membership at the local Board level is encouraged to self-nominate
themselves for any position. All Board positions are encouraged to develop
committees to serve with them to fulfill the roles and to provide as understudies
and replacements, should the need arise.
President

President
The
President performs such roles as:
- leads or
hosts monthly chapter meetings
- liaisons
with ISPI International
- recruits
Board members
- chairs the
nominating committee
- coordinates
annual Web site content changes with Technology Chair
- oversees
the financial needs of the organization
- evangelizes
ISPI to the community and potential members
- performs
a quality
check of all publications for completion and accuracy
President-Elect
The President-Elect,
also known as the Vice President:
- assists Board
members as needed to prepare for incoming roles
- provides
back-up to the President role
- serves in
a two-year commitment as President-Elect and President
- organizes
and delivers at least one professional skills seminar a year
Immediate
Past President
The Immediate
Past President, as well as any past President should
- advise and
support current and incoming Presidents of the Chapter
- act as volunteer
coordinator to help integrate new chapter members into active roles
Treasurer
The Treasurer should
- be responsible
for receipt of all funds
- pay all
debts as approved by the President
- prepare annual
budget
- coordinate
the budget review and approval by the current Board
- maintain
the bank account and supplemental financial services such as a PayPal
account
- report monthly
financial status of the organization to the Board
- maintain
an accurate record of all financial activities using a tool such as
QuickBooks provided by the Chapter
- prepare and
submit financial documents as necessary to any national, state, county,
or city legal entity.
Membership
Director
The
Membership Director:
- maintains
all records of membership for the Chapter
- coordinates
membership records with ISPI International, as necessary.
- forms a
membership committee to welcome members at monthly meetings
- provides
membership information to potential members
- reports on
membership statistics to the Board at monthly Board meetings and to
the membership in general in the Chapter newsletter
- creates
a successful membership strategy to satisfy and retain members
- maintains
the membership listing to assist the Programs Director at the monthly
meeting for the purpose of collecting accurate meeting fees based on
membership status
- creates a
list of attendees for each meeting based on membership status
- creates
and maintains a membership directory of all Chapter members
Program
Director
The Programs
Director is responsible for creating a program strategy for the year.
This position may be divided into two positions: Programs - Monthly Meetings
and Programs - Special Events. As a result each of the following activities
may be necessary for each role:
- defines the
program for the year
- identifies
and recruits presenters for the programs defined
- defines and
coordinates the meeting locations with the Board approval
- coordinates
the presenter logistics
- obtains speaker
bios
- creates program
descriptions
- prepares
and submits program information to Public Relations Chair and membership
- introduces
speakers at meetings
- obtains speaker
materials for placement on Web site
- maintains
chapter flyer and Web page defining value of programs to members
Secretary/Communications
Director
The
Secretary or Communications Director is responsible for all communications
to the chapter members:
- sends meeting
announcements to e-mail distributions lists prior to all meetings
- takes minutes
at Board meetings and forwards to the Technology Chair for placement
on the Web site
- assists with
any administrative activities as needed
- helps the
President prepare and send out Board meeting agendas
- arranges
for monthly Board meeting facilities
- develops
and maintains the Chapter newsletter (and Newsletter committee)
- develops
and maintains regular Chapter communications coordinated with the Programs
Directory and Technology Chair
Marketing
Director
The
Marketing Director is responsible for creating a marketing strategy for
the year. This position may be divided into two positions: Marketing Director
- Academic and - Corporate. As a result each of the following activities
may be necessary for each role:
- defines the
marketing effort for the year
- recruits
new members and sponsors
- writes press
releases and submits to local news agency for delivery to the community
- maintains
a marketing strategy that can be enhanced every year
- facilitates
a membership drive to grow our local Chapter
- defines a
marketing vision model with objectives for the committee.
Public
Relations Director
The Public Relations
person:
- collects
Chapter information and communicating it to entities outside of the
ISPI community including newspapers, radio stations and other professional
organizations
- creates
and maintains a strategy to reach out to various community organizations
(SHRM, ASTD, PMI, OD Network, and Chambers of Commerce, just to name
a few)
- builds networking
relationships to drive and grow our Chapter
- creates
and improves ties and involvement with other Texas ISPI Chapters
- increases
awareness and recognition of Chapter within the community
Technology
Chair
The Technology
Chair:
- maintains
the Chapter's Web site
- functions
as Web master and site administrator
- advises
Board on technology initiatives within the Chapter
- coordinates
services with the vendor responsible for the Web site hosting
- enhances
our member's experience with the Chapter through technology
- works with
Board members to maintain Web content
